Job Summary

The Executive Assistant will provide high-level administrative support to the organization’s executive team. This role involves coordinating schedules, meetings, projects, and travel arrangements while ensuring executives are fully prepared for all engagements. The position requires maintaining confidentiality, handling multiple priorities in a fast-paced environment, and supporting the executive team in achieving organizational objectives.

Key Responsibilities

  • Assist executives daily by scheduling meetings, organizing projects, and providing administrative support.
  • Ensure executives are prepared for all meetings and that logistics are efficiently arranged to optimize time.
  • Update job knowledge by participating in educational opportunities and reading professional publications.
  • Perform administrative duties requiring confidentiality, initiative, and sound decision-making.
  • Plan, schedule, and coordinate meetings, including department, off-site, and external group events.
  • Coordinate travel arrangements for executives and process expense reports.
  • Maintain confidentiality of all communications and documentation.
  • Provide general administrative assistance including filing, scanning, drafting letters, data entry, and other office duties.
  • Assist with preparing and processing reports.
  • Establish and maintain hard copy and electronic filing systems as required.

Requirements & Qualifications

Qualifications, Skills, and Experience

  • Minimum Qualification: Bachelor’s degree.
  • Preferred Experience: 4+ years of relevant administrative experience in an executive support role at a high corporate level; prior C-suite support preferred.
  • Ability to prioritize tasks and meet deadlines with minimal supervision; strong problem-solving skills.
  • Independently explores and learns about the company, role, and processes in a complex environment.
  • Strong team player; collaborates well with other staff and willing to assist in other areas.
  • Experience in creating and organizing presentations and reporting for executive audiences.
  • Excellent organizational and planning skills with attention to detail.
  • Strong time management skills to handle time-sensitive projects and urgent requests; flexible and able to execute quickly.
  • Proactive in anticipating problems and identifying areas for improvement.
  • Effective verbal and written communication skills; communicates openly and adjusts to audience level.
  • Ability to handle highly confidential and technical material.
  • Capable of managing multiple projects and tasks concurrently in a fast-paced environment.
  • Proficient in Microsoft Outlook, Excel, PowerPoint, Word, and other business enterprise systems.
  • Takes initiative to learn new systems and stay current in areas of expertise.
  • Knowledge of general office procedures such as filing, correspondence, scheduling, expenses, and calendar management.
  • Must maintain a neat and professional appearance.
