Key Responsibilities

Job Details

  • Coordinate project document planning activities with Project Manager, project team, and Functional Managers to ensure realistic document control plans aligned with project objectives and requirements

Leadership:

  • Provide professional leadership to Document Control Officers within the department
  • Support management efforts to drive business growth
  • Delegate responsibilities while maintaining accountability for document management delivery
  • Provide document management support across projects within the Group
  • Support implementation of HR policies including equality, diversity, and inclusion
  • Coach and mentor teams to maintain professionalism and company values
  • Coordinate technical documents and data across multiple projects
  • Provide strategic and operational direction for document management and control functions
  • Develop routine reports on EDMS performance
  • Support access to current and accurate documentation
  • Review project scope and requirements with project teams and clients

Planning

  • Lead document control activities for multiple projects
  • Oversee documentation planning and preparation, including complex project startup planning
  • Address contractual documentation requirements
  • Provide expert support in document numbering and classification
  • Contribute planning input into proposals and bids
  • Ensure implementation of document control plans aligned with project objectives
  • Review project scope and requirements to ensure shared understanding with stakeholders

Core/Technical:

  • Establish and maintain document control procedures and policies for projects
  • Develop document control procedures in line with contract specifications
  • Review project deliverables to ensure they meet required standards and purpose
  • Review subcontractor deliverables to ensure alignment with documentation requirements
  • Maintain and update the Master Document Register
  • Ensure subcontractor documents comply with company procedures
  • Ensure real-time data upload to shared portals
  • Identify potential delays and escalate to Project Managers and stakeholders
  • Provide periodic performance updates and recommended actions
  • Track document issuance timelines and identify variances impacting project schedules
  • Ensure documents meet required specifications and standards
  • Maintain secure storage and archiving of project documents
  • Engage with project teams and vendors to expedite implementation of client feedback
  • Provide weekly updates and status reports on documentation activities
  • Monitor project documentation in line with client requirements
  • Develop reports for document capture into EDMS
  • Collate project as-built deliverables
  • Participate in review sessions to confirm contractual compliance
  • Review internal and external project close-out reports
