Job Summary

The Admin and Facility Manager is responsible for managing facilities and administrative functions, including maintenance, repairs, cleaning, daily administrative activities, procurement, protocol services, communications, guest house management, and compliance with health and safety regulations. The role ensures that buildings and related facilities remain functional and meet the needs of employees, clients, and visitors.

Key Responsibilities

Operations and Maintenance

  • Oversee daily operations and maintenance of facilities, including HVAC, plumbing, electrical systems, and general repairs
  • Develop and implement preventive maintenance schedules
  • Conduct regular inspections of facilities

Vendor and Contractor Management

  • Coordinate with vendors and contractors for services such as cleaning, landscaping, waste management, and specialized repairs
  • Negotiate contracts, monitor vendor performance, and manage service budgets

Safety and Compliance

  • Ensure compliance with health, safety, and environmental regulations, including building codes and OSHA requirements
  • Develop and implement safety programs
  • Conduct safety audits and manage emergency preparedness plans

Space and Asset Management

  • Plan and allocate space for future growth and ensure efficient space utilization
  • Oversee office layout planning
  • Maintain records of equipment, furniture, and assets and ensure proper usage and timely replacement

Budgeting and Cost Control

  • Develop and manage facility related budgets
  • Monitor expenses and identify cost saving opportunities
  • Prepare financial reports, forecasts, and track key performance indicators for facility operations

Team Management

  • Supervise and lead maintenance, custodial, and facility staff
  • Conduct training, manage schedules, and ensure compliance with company policies

Sustainability Initiatives

  • Implement energy saving initiatives and sustainable practices
  • Monitor energy usage and recommend environmentally friendly alternatives
  • Track progress of sustainability programs

Customer Service and Communication

  • Serve as a point of contact for facility related issues
  • Address complaints and provide timely resolution
  • Communicate facility updates and policies to management

Requirements & Qualifications

  • Bachelor’s Degree in Facility Management, Engineering, or a related field is preferred
  • Minimum of 10 years experience in facility management, building maintenance, or related roles
  • Strong knowledge of building systems including HVAC, electrical, and plumbing
  • Knowledge of safety regulations and preventive maintenance practices
  • Strong organizational, budgeting, and vendor management skills
  • Strong leadership, communication, and problem solving abilities
  • Certification in facilities management such as FMP or CFM is an added advantage

  • Proficiency in computer use and facility related software
